Privacy Policy

The Gracewell Foster Trust (“the Trust”, “we”, “our”) is a registered charity in England and Wales (No. 218796). This policy explains how we collect and use personal information, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

We are the data controller for the personal information we hold. You can contact us by email at info@gracewell.org.uk or by post at 271 Wake Green Road, Moseley, Birmingham B13 9XL.

2. What information we collect

  • Information you send us. When you contact us by email or post — for example making an enquiry about an almshouse home — we receive your name, email address, and the contents of your message.
  • Application information. If you apply for a place in one of our almshouses, you will be asked to provide further personal details (such as age, housing situation, means, and relevant connections to Birmingham). We only collect what the trustees need to consider your application fairly.
  • Residency records. If you become a resident, we keep records necessary for the proper management of your almshouse place (contact details, next of kin, health or safeguarding information relevant to your residency).
  • Technical information. This website does not set tracking cookies or run analytics. Basic server logs may be kept by our hosting provider for security purposes.

3. How we use your information

We use your information to respond to your correspondence, to consider applications, to administer residencies, to discharge our safeguarding duties, and to meet legal and regulatory obligations.

4. Lawful basis

Our lawful bases for processing include our legitimate interests in running the charity, our legal obligations as a registered charity and housing provider, contract (for residents), and, where relevant, consent or the protection of vital interests.

5. Sharing your information

We do not sell personal data and we do not share it with third parties for marketing. We may share information where we are required by law, where it is necessary to safeguard a resident or vulnerable person, or with professional advisers under duties of confidentiality. Information about individual applicants is only seen by trustees and those specifically involved in assessing the application.

6. How long we keep information

We keep records only for as long as is necessary for the purpose for which they were collected, and to meet our legal and regulatory duties. Unsuccessful enquiry correspondence is typically held for no more than two years; residency records are kept for longer in line with charity and housing best practice.

7. Security

Our trustees take reasonable technical and organisational steps to keep personal data secure, including restricting access to trustees and authorised representatives and using reputable service providers.

8. Your rights

Under UK data protection law you have rights to access the personal data we hold about you, to have it corrected if it is wrong, to ask us to delete it in certain circumstances, and to object to or restrict certain processing. To exercise any of these rights please email info@gracewell.org.uk.

9. Complaints

If you are unhappy with how we have handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk).
